Scheduled Tasks
4 min read
This feature is BETA. It is feature-complete for its current scope and ready for use, but it may still change based on feedback, and some details may be refined. Please refer to our Upgrade and Release Process for more information.
Overview
Scheduled Tasks lets Unique AI run a task automatically on a recurring schedule. Write the instructions once, pick a space and a schedule (for example, every Monday at 8:00), and Unique AI takes care of the rest.
Use it for work you repeat regularly: weekly market summaries, daily news digests on a topic, monthly report drafts, or recurring checks of your knowledge base. Scheduled Tasks work with both Unique AI Chat and Unique AI Conduct spaces.
At a glance
To create and manage tasks, open Scheduled from the left sidebar or ask the assistant in a Conduct space chat to create a task.
Every task belongs to a space and runs with that space's assistant, tools and knowledge.
Tasks run as you, with your permissions at the time of each run.
Each run appears as a normal chat in the left sidebar after it has run.
Runs are unattended. If the assistant needs your approval and automatic approval is off, or if it asks you a question, the run stops.
The feature is off by default. If you can't see Scheduled Tasks in the sidebar, please reach out to your internal support team.
Create a scheduled task
In the left sidebar, open Scheduled Tasks.
Click New Task.
Fill in the task settings (see table below).
Save the task.
Task settings
Setting | What it does |
|---|---|
Name | How the task appears in your list, for example "Weekly competitor news". |
Space | The space the task runs in. Use a Chat space for answers and summaries, or a Conduct space when the task needs to process files, run code or produce deliverables. |
Instructions | What the assistant should do, written like a chat message, for example "Summarize this week's news about our top 5 competitors in bullet points, with sources." |
Schedule | How often and when the task runs. Only recurring schedules are available; one-time runs are not supported. The schedule uses the time zone of the browser where you created the task and adjusts automatically for daylight saving time. |
Model | Optional, if available: which AI model to use. |
Approval | Automatic: the task continues without waiting for your confirmation, for example before using a tool. Manual: the task waits for your approval or elicitation. |
Create a task from a Conduct chat
In a Conduct space, you can also ask the assistant to schedule something for you, for example: "Every Monday at 8:00, summarize last week's competitor news." The assistant confirms once the task is created, and it appears on the Scheduled Tasks page like any other task.
Manage your tasks
The Scheduled Tasks page lists all your tasks with name, space, schedule and next run. You can only see and manage tasks you created.
Action | How |
|---|---|
Search | Find a task by name. |
Edit | Click a task to change any of its settings. Editing doesn't trigger a run, and past results stay unchanged. |
Pause / resume | Use the toggle on the task card. A paused task doesn't run until you resume it. A run already in progress still finishes. |
Run now | Open the ⋮ menu on the task card and choose Run now to start the task immediately, outside its schedule. |
Delete | Open the ⋮ menu on the task card and choose Delete. Chats from past runs are not deleted and stay in your sidebar. |
In a Conduct space, you can also ask the assistant to edit, pause, resume or delete a task, for example: "Pause my weekly competitor news task."
Runs and results
Behavior | What happens |
|---|---|
Results | Each run appears as a normal chat. A label at the end of the chat shows that it was triggered by a scheduled task. |
Notifications | A dot next to the chat in the left sidebar shows that a run has a new result. |
Usage limits | Scheduled runs count toward the same usage limits as normal chats. |
Permissions | If you lose access to something the task needs, the run is blocked. If you lose access to Unique AI entirely, the task stops. |
Deleted space | If the task's space is deleted, the task no longer runs and a warning symbol appears on its card. Edit the task to choose another space, or delete the task. |
Unattended runs | The run stops if it's waiting for your approval (manual approval) or for an answer to a clarifying question and you don't respond in time. |
Failed runs | Unique AI retries a failed task up to 5 times. If it still fails, the task is disabled and a red info icon appears on its card. Hover over the icon to see the reason, fix the cause, then turn the toggle back on. |
Tips and tricks
Write specific instructions and test them. Include scope, time period, sources and output format. Try the instructions once in a normal chat, or use Run now, and refine them until the assistant no longer asks follow-up questions.
Use automatic approval for tasks that should run without you.
Don't schedule more often than needed. Very frequent tasks use up your organization's usage limits faster.
Troubleshooting
Symptom | What to check |
|---|---|
No Scheduled Tasks in the sidebar | The feature may not be enabled for your organization. Contact your internal support team. |
Red info icon on a task card | The task was disabled after repeated failures. See Failed runs in Runs and results. |
Warning symbol on a task card | The task's space was deleted. See Deleted space in Runs and results. |
A run stopped before finishing | The assistant needed your approval or asked a question. Switch to automatic approval and make the instructions more specific. |
A task didn't run | Is the task paused? Do you still have access to the space and its tools? Have usage limits been reached? |
