The “My Prompts” feature is designed to enhance user efficiency by allowing users to save and reuse frequently used prompts. This feature addresses the issue of time-consuming and repetitive typing of commonly used prompts.

Feature Access
This feature is strategically designed to optimise both security and usability within the application. Access to the User Prompts feature is governed by users who have the following roles: chat.admin.all, admin.space.write, chat.chat.basic, chat.chat.unlimited (the roles are managed via Zitadel).

Step-by-Step Guide
Initial User Flow
When the user is onboarded to the feature for the first time, there will be no Saved Prompts. To make it easy to add Prompts, there is a Get Started button. Clicking the button will redirect the user to the Configuration panel, where they can manage their prompts.

Step 1: Save New Prompts & Build Personal Prompts Library
The process to save a new prompt is integrated within the chat interface:
Create your first Prompt: Click “My Prompts” > “Get Started” > “Add prompt”

Create further prompts: Click “My Prompts” > “Manage” > “Add prompt”

Add prompt in “My Prompt” from the committed prompt in the chat by clicking at the “Save icon” next to the prompt. Clicking this icon will allow the user to save the prompt via a modal.

Step 2: Use Saved Prompts
In the main chat interface, below the chat input field, a dropdown labeled My Prompts is available next to the Suggestions dropdown.

Selecting a prompt from My Prompts auto-fills the chat input field with the chosen prompt.

Step 3: Managing Prompts
Managing the prompts includes view, move, add, delete & edit prompts. Clicking the Save button will save all changes, and clicking the Discard button will revert the changes.

DELETE | An X icon is displayed on each prompt to delete it. After deleting, the user can choose to undo the deletion. |
EDIT | Clicking the title or the description of a saved prompt allows the user to edit the existing text. |

Organize Prompts: Use clear and descriptive titles to easily identify prompts.
Quick Access: Save frequently used prompts for faster workflows.
Edit on the Go: Modify saved prompts directly in the configuration panel to keep them updated.
Use Suggestions: If no prompts are saved, explore the Suggestions dropdown for inspiration.
Undo Deletions: Accidentally deleted a prompt? Use the undo option to restore it.
Limitations
No Sharing Yet: Currently, prompts cannot be shared with others, but this feature is planned for future updates.
Manual Management: Users must manually add, edit, or delete prompts.
Accuracy Concerns: Prompts may lead to inaccurate chatbot responses; always verify the output.
Access Restrictions: Feature availability depends on user roles and permissions.
